What Are Field Groups?
A Field Group is a set of Field Options that apply to the Fields according to the workflow scenario. The Field Groups that apply to a workflow is based on these criteria:
- Company
- Client
- Area
- Category
A Field Group can include any combination of Field Options from any number of Fields.
- Based on the Field Group Availability criteria that is set on the Field Groups in the system configuration, a single Field Group may apply to a workflow scenario or multiple Field Groups may apply.
- This depends on which Field Group’s Field Group Availability criteria matches the workflow scenario. When multiple Field Groups are applicable, the Field Options from each Field Group are combined and appear in the dropdown of the Field.
Why Field Groups Are Important
They let you control which options appear, depending on:
- The client
- The area
- The business rules
- The user’s role (optional)
- The property or asset
This keeps the dropdowns clean and relevant.
Adding Field Options to Field Groups
You can add Field Options in two ways:
- Use existing Fields and their Options
You select the options you want from Fields that already exist.
- Create NEW Fields directly inside the Field Group page
If you need a new option or Field, you can create it on the spot without leaving the Field Group screen.
Global Field Groups
A Global Field Group applies to all combinations of:
- Company
- Client
- Area
- Role (optional)
- Property / Asset
This is applied by leaving all Field Group Availability criteria empty.
Use a Global/Default Field Group when a Field Option should appear system-wide.
Examples:
- Universal Status values
- Asset categories used by all clients
- Standard property classifications
- Mandatory compliance labels
